Job Summary

We are seeking a highly organized and detail-oriented Remote Assistant to provide comprehensive administrative and operational support to our team working on federal government technology projects. The ideal candidate will be a proactive problem-solver with excellent communication skills and a strong ability to manage multiple tasks efficiently. This role is crucial to ensuring the smooth and effective operation of our projects and supporting our team's success.

This is a remote, 1099-NEC contractor position with a compensation of $25 per hour. Occasional travel for company events is optional.

Responsibilities

Administrative Support

  • Manage calendars, schedule virtual meetings, and coordinate potential travel arrangements.
  • Prepare and process expense reports, invoices, and other financial documents digitally.
  • Maintain accurate records and filing systems, primarily electronic.
  • Prepare and edit correspondence, reports, and presentations using online tools.
  • Assist with remote onboarding of new employees and contractors.

Project Support

  • Assist with the preparation and tracking of project documentation using online collaboration platforms.
  • Coordinate and schedule virtual project meetings and reviews.
  • Assist with data entry and analysis using online tools and spreadsheets.
  • Support the preparation of proposals and contract deliverables.
  • Assist with the management of federal government related digital documentation.

Communication and Coordination

  • Serve as a point of contact for internal and external stakeholders via email, phone, and video conferencing.
  • Communicate effectively with team members, clients, and vendors in a virtual setting.
  • Coordinate logistics for virtual meetings, events, and training sessions.
  • Maintain organized email correspondence.

Office Management

  • Maintain digital office supplies and software licenses.
  • Assist with general virtual office organization and maintenance.
  • Ensure a clean and organized digital workspace.

Occasional Travel

  • Option to travel to company events.

Qualifications

  • Proven experience as an administrative assistant or similar remote role.
  • Strong organizational and time-management skills in a remote work environment.
  • Excellent written and verbal communication skills, especially via digital platforms.
  • Proficiency in online collaboration tools (e.g., Google Workspace & Asana).
  • Ability to work independently and as part of a remote team.
  • Attention to detail and accuracy.
  • Ability to maintain confidentiality.
  • Experience or familiarity with federal government contracting is a plus.
  • Experience with, or understanding of, neurodiversity and a willingness to support an inclusive environment.
  • Access to reliable high speed internet, and a dedicated workspace.

Preferred Skills

  • Experience with project management software.
  • Familiarity with federal government regulations and procedures.
  • Ability to adapt to changing priorities and deadlines in a remote setting.
  • Ability to create and improve upon existing remote processes.
